Description
The Royal Flying Doctor Service (Queensland Section) (RFDS) Medical Chest Service is unique and vital, with over 1,300 chests located across Queensland. Each chest is stocked with essential medications, pain relief, and first aid supplies, enabling treatment for a wide range of conditions, from infections to emergency care before evacuation.
We have an exciting opportunity for a proactive, self-motivated professional to join our team in a permanent, full-time role. You'll be part of a high-impact service, supported by significant investment and a renewed focus on strengthening a program that’s essential to the life-saving work of the RFDS.
In this operational leadership position, you’ll oversee task coordination and ensure effective communication with remote customers, key stakeholders, and internal teams while maintaining the highest standards of safety and quality service.
The role calls for critical thinking, a solid understanding of audits, regulations, and compliance, and sharp attention to detail. Proficiency in Microsoft Excel and Word is essential, along with the ability to produce clear, concise, and objective documentation across all aspects of your work.

Key Accountabilities:
- Support the Medical Chest Service Manager in ensuring the efficient and appropriate use of medical chests.
- Liaise with medical chest prescribers and chest holders, including some interpretation of records.
- Promote and advocate for appropriate medical chest use by supporting end users with record keeping and compliance.
- Contribute to maintaining and updating relevant administration training materials, policies, and procedures, as well as developing new policies or procedures where relevant and/or required.
- Maintain awareness of, and ensure application and compliance with, relevant legislation and regulations related to medical chest use.
- Manage the registration, regulation, and training of medication chest holders, escalating issues to the Service Manager as required.
- Identify opportunities to improve cost-effectiveness and work collaboratively to realise these opportunities.
- Day-to-day operational leadership of the medical chest administration team with a commitment to continuous improvement.
- 3-5 years experience in an Administrative role
- Proven experience in team leadership or support – able to mentor, guide, and assist others, with sound judgement to escalate issues when necessary.
- Strong administration and customer service skills – professional phone manner, accurate data entry, effective records management, and keen attention to detail.
- Proficiency in Microsoft Office Suite.
- Ability to work independently with excellent time management, prioritisation, and problem-solving abilities.
- Effective written and verbal communication, with the ability to allocate tasks and engage confidently and clearly.
